Getting Started with Heidi II

Everything you need to know about Heidi II.

Heidi listens to your visits and writes your notes, now it also handles the work that happens around the visit. That’s Heidi II, the same platform you’re used to, with new capabilities.

Heidi II is rolling out in gradually, so you and a colleague may see it on different days.

Your first five minutes

If you want to dive straight in, try the four steps below:

  1. Open Heidi take a look at your homepage. Everything from your day is there.

  2. Type a task into the chat: "Heidi tell me everything I left open yesterday and write me a to-do-list based on this."

  3. Read what comes back and check it against your own memory of the day.

  4. Come back to this page when you want to go further.

What’s new

Your Home screen

Heidi opens on your day instead of a blank session.

  • Today's sessions, patients open tasks, loaded before you do anything

  • One Chat for both questions and search

  • The Routines you can run, in the same place

  • Sessions open exactly as they always did

Agents

Ask in plain language and Heidi works through the task, then hands back what needs your review.

  • Watch each step, and pause or stop the run

  • Nothing reaches a chart, an inbox or a patient until you approve it

  • Start read-only: "Go through my recent notes and tell me what I've left open"

Routines

A task you've asked Heidi to do, saved so it runs the same way every time.

  • Run on demand, on a schedule, or when a note is generated

  • Heidi writes out the steps before you save, so you can read what it will do

  • Pre-built Routines cover common clinical jobs

  • Share one so your team runs the same process

Memory

Heidi remembers how you write and what you prefer, from what you tell it and from the edits you make.

  • Change "Patient reports" to "Pt reports" a few times and Heidi writes it your way

  • It also learns section order, referral formats and template choices

  • See everything it holds, edit it, delete it, or turn it off

  • Your memory never shows up in a colleague's work

Journal Search

Heidi works from peer-reviewed research journals. Journals included in the launch: NEJM, Wiley, Cochrane, BMJ.

  • Included in every chat, so you don't switch modes for a cited answer

  • Every claim links to a source you can open

  • Available on paid plans

Evidence

Evidence is Heidi's clinical knowledge tool and is now forms part of the above.

  • For literature search alone, use the + button or the top-left menu

  • It also runs as a step inside a Routine

Before you start

Check your IT requirements

To ensure Heidi works seamlessly, make sure your IT setup is ready:

  1. Stable internet connection: Ensure you have access to wifi or cellular network. With the Heidi mobile app, you can run sessions offline.‍

  2. Microphone: Heidi requires a working microphone for transcription and dictation. You can use the built-in microphone on your laptop or phone, or an external microphone if you have one. For a seamless hands-free option, Heidi Remote is available now.

  3. Test the setup:‍ Test your microphone and internet speed to ensure smooth performance.


Scribe

Scribe sits at the top of the left-hand menu. It's where you primarily listen and document your visits.

The main session window is where your visit lives. From here you can:

  • Add patient details and create a patient profile

  • Context tab: upload results, correspondence, previous notes, or any relevant documents. Heidi reads all of this alongside the transcript to add depth and accuracy to your note. You can also free-text notes here before a session as part of your pre-charting, or list additional people in the room.

  • Note tab: your generated note will appear here once you've ended your transcribing

  • Templates: your default template appears automatically, and you can switch templates at any time or search the community library

💡 Tip: Context is one of the most impactful features in Heidi. Uploading a scan result, discharge summary, or referral letter before a session means Heidi can incorporate that detail into your note without you having to verbalise it.

To start a session, click the green button to begin transcribing, or select dictation mode if you prefer. Keep an eye on the green waveform next to the transcribe button, this confirms your microphone is actively capturing audio.

Once you've finished transcribing, your note will generate automatically in the Note tab. You can review the full transcript at any time by clicking the Transcript tab useful if you want to verify exactly what was captured during the session.

💡 Heidi works best when you speak everything you want documented. It can't capture what isn't said so make sure to verbalise your examination findings, plan, and any other clinical details you want included in your note.

❗Patient consent: If your organisation has enabled the Require Patient Consent setting, a pop-up checkbox will appear when you start a session. You will need to confirm consent has been obtained before transcription begins.


Tasks

Tasks are automatically detected and listed as you work through your sessions. You can also add tasks manually at any time. Use the Tasks panel to track outstanding actions across your patients.


Template library

Your personal library of templates for different consultation types and clinical settings. You can create new templates, browse the community library, or build your own using the template builder. There is no one-size-fits-all template, building out a library of specific templates for different visit types will give you the best results.


Settings

A few key settings worth knowing about from the start:

  • Memory: set up Find & Replace rules and Snippets (macros for standard phrases or safety netting advice you use regularly)

  • Data Management: configure automatic session deletion or enable dictation playback

  • Default Scribe settings: set your preferred detail level and style as a default

  • Heidi Labs: opt in to beta features and new releases, can be toggled on or off at any time
