Handing your first task to Heidi

Learn how to hand over your tasks to Heidi.

Heidi can take on the work around the visit, such as prepping your day, chasing what's outstanding, or updating a chart. The flow below walks you through one example end to end, so so you know what to expect the first time.

In this flow we’ll tackles the end of your clinic day. Normally you would have to reopen every patient's notes yourself to remember what's still to do and work on those open tasks. Let’s ask hand it to Heidi instead.

Before your start

Two things worth knowing:

  • Heidi asks before it acts: Set it you Ask for approval and nothing reaches a chart, a payer, a patient or an inbox until you approve it. Approving one action doesn't approve the next, so each step that needs your sign-off will ask separately.

  • Approve for me: Heidi will do tasks automatically, but will always come back to you for approval on sensitive actions.

Step 1: Ask Heidi what tasks you have left based on your day

Open Heidi and in the Chat type or dictate:"Go through my recent notes and tell me what I've left open, most urgent first."

Press enter and watch. Heidi works through your recent sessions one by one, and you'll see each step as it happens.

What you'll get back: a ranked list of your patients with the outstanding work under each name. The radiology report that needs chasing. The care plan still to write. The pathology request nobody sent. Every patient you saw is accounted for, and you didn't open a single session to get there.

Take a moment to check the list against your own memory of the day. This is the fastest way to build trust in what comes next.

Step 2: Check your record against the visit

Information often lives in two places, cross checking it eats up time. Ask Heidi to do this instead,

In the same Chat ask: "Open my EHR, check today's charts and cross-reference them against the sessions in Heidi. What doesn't match?”

Heidi will pause and ask for your approval before it touches your EHR. Read what it's proposing, then approve it. This is the moment most people expect to feel uneasy, and it's the moment the approval gate is built for.

From there, Heidi moves through the chart: medications, allergies, results, history. If you have a connector for your system, Heidi queries it directly. If you don't, Heidi works the screen the way you would, and you'll see the cursor move without touching it.

What you'll get back: a list of the differences between the chart and your note. Ask Heidi to update the session note so the two agree, and it will come back for your approval again before writing anything.

Step 3: Draft what follows from all the visits

Rather than opening each session, summarizing it and drafting separately, stay in the same chat and do all three at once.

Tell Heidi: "From all of today's visits, what needs updating in each record? Draft every document required after the visit and show me for review."

Let it run for a moment.

What you'll get back: the patient profile update, the referral letter, the patient instruction sheet. All drafted, none sent. Heidi uses your templates and the phrasing it has picked up from your past edits, so the referral arrives in your format without you asking for it.

Read each one. Edit anything you want changed, then tell Heidi to go ahead, and it finalizes them in the session.

Step 4: Save it as a Routine so you can run it automatically

If it's a job you'll do again, save the exact flow as a Routine and Heidi runs it for you on demand or on a schedule.

In the Chat tell Heidi: "Save that flow as a Routine."

Heidi writes the Routine out in plain text first, so you can read exactly what it will do before you commit. Check the steps, then approve.

Now choose how it runs:

  • On a schedule: Daily at 6pm, for example. Set it now or change it later.

  • On a trigger: When a note is generated, a session is created or a document is produced.

  • On demand: Type a slash command in chat to run it whenever you want.

If you'd rather not build from scratch, try a pre-made Routine first.

One thing to note: Routines run in auto mode, so they won't stop to ask for approval the way your first run did. Read the steps before you save.

Teach

If Heidi isn't matching how you like a task done, show it instead of explaining it. Record the flow exactly the way you want it, and Heidi keeps it for next time, saved as a Routine you can run or edit.

Note: if you are using the screen recording feature, it will record your primary screen.

If something doesn't go to plan

  • Heidi stops and asks a question. That's working as intended. When a task is unclear, or the next step falls outside what you asked for, Heidi comes back to you rather than guessing. Answer it and the run continues.

  • Heidi says it can't do something. It will tell you why. Usually it's a system it can't reach or a permission it doesn't have.

  • The result isn't what you wanted. Nothing was sent. Rephrase what you asked for and run it again.
