Microphone: Heidi requires a working microphone for transcription and dictation. You can use the built-in microphone on your laptop or phone, or an external microphone if you have one. For a seamless hands-free option, Heidi Remote is available now.
Test the setup: Test your microphone and internet speed to ensure smooth performance.
A tour of the platform

When you first log in, you'll see the main menu on the left-hand side of the screen. Scribe sits at the top — this is your primary workspace for consultations.
Right next to the left-hand menu will be your Sessions list. When you first sign in this will be empty — sessions will appear here as you use Heidi.
The main consultation window is where your session lives. From here you can:
Add patient details and create a patient profile
Context tab — upload results, correspondence, previous notes, or any relevant documents. Heidi reads all of this alongside the transcript to add depth and accuracy to your note. You can also free-text notes here before a session as part of your pre-charting, or list additional people in the room.
Note tab — your generated note will appear here once you've stopped transcribing
Templates — your default template appears automatically, and you can switch templates at any time or search the community library
💡 Tip: Context is one of the most impactful features in Heidi. Uploading a scan result, discharge summary, or referral letter before a session means Heidi can incorporate that detail into your note without you having to verbalise it.
To start a session, click the green button to begin transcribing, or select dictation mode if you prefer. Keep an eye on the green waveform next to the record button — this confirms your microphone is actively capturing audio.
Once you've stopped transcribing, your note will generate automatically in the Note tab. You can review the full transcript at any time by clicking the Transcript tab — useful if you want to verify exactly what was captured during the session.
💡 Heidi works best when you speak everything you want documented. It can't capture what isn't said — so make sure to verbalise your examination findings, plan, and any other clinical details you want included in your note.
❗Patient consent: If your organisation has enabled the Require Patient Consent setting, a pop-up checkbox will appear when you start a session. You will need to confirm consent has been obtained before transcription begins.
Evidence
Evidence is Heidi's clinical knowledge tool — a chat interface where you can ask clinical questions, check guidelines, review medication safety, support diagnostic workups, or prepare for an exam. All responses are grounded in trusted sources with full citation transparency and no paywalls.

Tasks are automatically detected and listed as you work through your sessions. You can also add tasks manually at any time. Use the Tasks panel to track outstanding actions across your patients.
Template library
Your personal library of templates for different consultation types and clinical settings. You can create new templates, browse the community library, or build your own using the template builder. There is no one-size-fits-all template — building out a library of specific templates for different visit types will give you the best results.
Settings
A few key settings worth knowing about from the start:
Memory — set up Find & Replace rules and Snippets (macros for standard phrases or safety netting advice you use regularly)
Data Management — configure automatic session deletion or enable dictation playback
Default Scribe settings — set your preferred detail level and style as a default
Heidi Labs — opt in to beta features and new releasesin ; can be toggled on or off at any time
