Before you start
Set yourself up for a smooth first session:
Add your patient's details and create a patient profile before you begin
Upload any relevant context — a triage note, referral letter, previous correspondence, or results. Heidi will read all of this alongside the transcript and incorporate it into your note automatically
Make sure your green waveform is visible next to the record button before you start — this confirms your microphone is capturing audio
💡 Remember: Heidi can only document what it hears. Make sure to verbalise your examination findings, clinical reasoning, and any other details you want included in your note.
Starting your session
When you're ready, click the green Start Transcribing button to begin. The microphone waveform and timer will confirm that your session is actively recording.
Patient consent: If your organisation has enabled the Require Patient Consent setting, a pop-up checkbox will appear before transcription begins. Confirm consent has been obtained before proceeding.
During your session
Let Heidi work in the background while you focus on your patient. A few things to keep in mind:
Verbalise your examination findings as you go — for example, calling out heart sounds, chest findings, and observations as you examine the patient
If there's information you want to add privately — a differential diagnosis you don't want to raise in front of the patient, or additional clinical detail — you can pause the session, let the patient leave, and resume transcription afterwards to add that information before generating your note
If your consultation involves multiple people in the room, listing them in the context window beforehand helps Heidi attribute the right concerns to the right person
Stopping and reviewing your note
When you're done, click Stop Transcribing. Heidi will analyse the transcript and generate your note in the template you have selected — this takes just a few seconds.
Once your note appears, take a moment to review it:
Check that patient details, history, medications, allergies, and social history have been captured accurately
Review your examination findings and plan
Check the Transcript tab if you want to verify exactly what was captured during the session
💡 Tip: If Heidi has detected updates to your patient's profile — demographics, allergies, past history, or medications — a notification will appear on the patient profile. Review and accept these to keep the patient record up to date.
Adjusting your output
Not quite right? You have a few options:
Change the detail level — click the Scribe settings and dial the detail up or down. The note will regenerate in real time. Try switching between Brief, Goldilocks, Detailed, and Super Detailed to find what works best for this consultation type.
Switch templates — if a different template would suit this consultation better, you can swap it out here and regenerate.
Dictate edits — use the dictation tool to speak changes directly into your note rather than typing them.
Ask Heidi — use the Ask Heidi chat bar to make stylistic edits (for example, "remove bolded headings") or to ask clinical questions, check guidelines, or run a calculation. Heidi will regenerate your note with the changes applied.
Tarefas
Heidi automatically detects follow-up actions from your consultation and lists them in the Tasks panel — referral letters, patient explainers, GP letters, orders, and more.
Tick off tasks as you complete them, and use the Tasks panel at the end of a session to make sure nothing has been missed.
You can also head into the Tasks area in the left-hand menu at any time to review and action any outstanding tasks.
Exporting your note
When you're happy with your note, you can:
Copy and paste directly into your electronic medical record
Export as a PDF or Word document
Send as an email directly from Heidi
