Manage your Heidi account data
By default, Scribe keeps your session, transcript, and patient data until you delete it. Data can be deleted manually, or you can set auto-deletion of data within defined retention policies. Org-admins can also set retention policies across their organisation. You can also delete your own sessions, notes and transcripts at any time.
Retention categories
Retention policies can be enabled against the following data categories:
Sessions
This includes session data, notes, transcripts and tasks.
Patients
This includes inactive patients and details on their profile. This does not include any linked sessions.
Evidence chats
This includes Evidence, Ask Heidi and Heidi Home chats.
Transcripts
This includes transcripts only. This does not include other session data.
Enable scheduled data
Go to Settings > Data Management.
For each category, switch the toggle on to enable a retention policy.
Enter the number of days to keep the data until it is auto-deleted.
When a retention period ends, Heidi deletes the data for good. Deleted data cannot be recovered.
Dictation, past sessions and extracting patient details
There are some additional settings to allow you to configure how data is used within Heidi.
Dictation playback
When enabled, Scribe stores the audio of each dictation. Clinicians can open the dictation recordings panel in the session, see each recording with its timestamp and duration, and play it back to check the note is accurate. Recordings stay available after you refresh or reopen the session.

Include past sessions
When enabled, Scribe includes the patient's three most recent sessions as context for a new session linked to that patient. The three-session limit is fixed. Without this enabled, you can still add past sessions manually within the Context tab.
Extract patient details
This is enabled by default. After a session which is linked to a patient, Heidi can detect fields in the transcript such as first and last name, phone number, patient identifier, past medical history, current medications, and allergies.
A notification will appear at the bottom of the screen and next to the patient's name, showing how many suggestions are waiting. You can accept or dismiss each suggestion, and nothing saves without confirmation. Accepting a suggestion, updates the relevant details saved against the Patient.
Turning this feature off will stop new suggestions. It will not change existing patient data.
