Set-up, Connect and Start Your First Session

How to pair Heidi Remote to your app, run a test session, and understand how your transcriptions sync.

Pairing with the Heidi mobile app

Before you start, make sure your Remote is charged and powered on. Keep your phone close to your Remote during pairing. Within arm's reach is perfect for a stable connection.

Open the Heidi app and locate Add Device in the top left corner of the home page. Follow the on-screen instructions to complete pairing.

You only need to pair once. After that, your Remote will connect automatically whenever it's in range of the app.

💡 You don't need to pair through your phone's Bluetooth settings. Pairing happens entirely within the Heidi app.


Pairing with the Heidi desktop app

Keep your computer close to your Remote during pairing. Within arm's reach is ideal for a stable connection.

On the Heidi desktop app, click the Remote icon in the bottom left corner of the main page and follow the on-screen steps.

If you don't see the option to add a device, make sure your app is up to date by heading to Settings > Account, scrolling down to Heidi desktop app and selecting Check for updates.

💡 Default note template: When setting up your Remote, you'll be asked to choose a default note template. All sessions recorded on your Remote will use this format. You can update it at any time through Remote settings in the app.


Your first test session

Once your Remote is paired, it's worth running a quick 20-second test before using it in a real consultation.

  1. Press the Transcribe button once; the LED turns solid red, confirming you're recording.

  2. Speak for a few seconds.

  3. Press and hold the Transcribe button for 2 seconds to stop and save; the LED fades back to solid white.

That's all there is to it. When you're in range of the app, your Remote will sync the session automatically.


Syncing your sessions

When your Remote is in range of the Heidi app, transcriptions sync automatically. No manual steps needed. A slow white blinking light means syncing is in progress.

If you've been out of range, don't worry. Transcriptions are saved securely on the device and will sync the next time your Remote is in range.

💡 Sync speed depends on your connection. Based on a 60-minute session: Bluetooth takes ~3 minutes, WiFi ~1 minute, and USB-C (desktop only) ~5 seconds.


Removing and re-assigning your Remote

If you ever need to hand your Remote to someone else, you'll need to remove it from your account first.

⚠️ Before removing: always sync any outstanding sessions first. Removing or factory resetting your Remote can delete unsynced transcriptions.

To remove your device from mobile:

  1. Open the Heidi app and go to device settings.

  2. At the bottom, select Remove Device; the app will check for any unsynced sessions.

  3. If unsynced sessions are found, follow the prompts to sync them first.

To remove your device from desktop app:

  1. Open the Heidi desktop app.

  2. On the bottom left-hand navigation menu, select Device to access device settings.

  3. Select Remove Device - the app will check for any unsynced audio.

  4. If unsynced sessions are found, follow the prompts to sync them first.

Once removed, the Remote is unlinked from your account and ready to be paired to a new one.

💡 If the original owner can no longer remove the device themselves (for example, they've left the organisation), contact Heidi Support and our team can clear the pairing on our end. Remember that this will delete any unsynced transcriptions still on the device.
