The session list
The session list can be found on the left-hand side of the Scribe area. You can expand it to a full-page table at any time using the expand icon in the top-right corner of the sidebar - useful when you need more space or want to compare sessions across your team. Click the same icon to return to the sidebar view.
Switching between views
Click the My sessions dropdown in the session list to switch between:
My sessions — your own sessions. Available on all plans.
All sessions — every session across your practice, with a clinician filter. Available on Practice and Enterprise plans with team session sharing enabled.
Shared with me — sessions colleagues have shared directly with you. Available on on Practice and Enterprise plans.
In full-page mode, these appear as tabs across the top of the session list.
💡 All sessions and Shared with me are team-based views. If you are on an individual plan, these views won’t display as they aren’t required.
Search
Click the search icon to search across your sessions by patient name or session content.
Refresh
Use the Refresh icon to force-refresh the session list.
Filtering
Filter your sessions by:
Date range
Patient profile
Status label (Draft, Reviewed, Approved, or Sent)
Display
Click the Display icon to toggle columns on or off. Available columns include Session summary, Time, Date, Clinician, and Heidi Remote.
In the All sessions view, use the clinician filter to focus on a specific team member's sessions.
Here, you can also Order by Date, Last Updated or Session summary. You can also change the sort direction, and reset to default at any time.
If your columns aren’t displaying when selected, you may need to expand the Sessions view. Hover your mouse in between the Sessions and Scribe views and click-and-drag to make the view bigger.
Alternatively, you can change the view to fullscreen by hovering near the top of the view, and selecting the Fullscreen button.
Creating a new session
Click the Upload icon to import a list of new/upcoming sessions. Here you will have two options:
Import a CSV - manually upload a CSV list of upcoming sessions directly into Heidi. If you need help with formatting the session list, click the Download CSV template button at the bottom of the pop-up.
Integrate with EHR - if you use a third-party Electronic Medical Record service to manage your sessions, select this option to head to the EMR integrations area.

Linking sessions to patients
Linking a session to a patient
Open any session and click the Add Patient Identifier field.
Search for the patient by name and select them, or choose Create New Patient if they're not listed yet - Heidi will suggest a name based on what's been entered.
Editing and unlinking
To edit a session's date or time, or to unlink it from a patient, open any of that patient's sessions. A list of their session history will appear - hover over the session you want to modify and select the pencil icon to edit the date or time, or the unlink icon to remove it from the patient's history.
Managing sessions from the list
Hover over a patient profile to quickly see and access all past sessions for that patient.
To delete all sessions for a patient profile, select all and click Delete. This action is permanent and will require confirmation.
Once sessions are linked to a patient, Heidi can use recent visits as context when generating your notes. See Patients for details.
Status labels
Note: Status labels are available on Practice and Enterprise plans only.
You can assign one of four labels to any session: Draft, Reviewed, Approved, or Sent. These help you track where each session sits in your workflow and communicate progress to your team.
Status labels are manual - you decide when and how to apply them. Click any session to assign or change its label. All team members can see status labels across the sessions they have access to.
