A detailed explainer on getting started with your Best Practice integration — for both Heidi Scribe and Heidi Comms.

Setting up the Best Practice Integration

Heidi connects to Best Practice using a pairing code. Once set up, your appointments flow into Heidi and your notes can be copied back to Best Practice.

💡 Note: You must be on a Heidi Practice tier to use the Best Practice integration (30-day free trial available).


Generate your Best Practice Pairing Code

You'll generate one Pairing Code (and pick up your Site ID) in Best Practice, then use them to connect to Heidi Scribe, Heidi Comms, or both. Follow these steps in Best Practice first, then jump down to the section for whichever side of Heidi you're setting up.

1. Open Setup third-party integrations

  • In Best Practice → click SetupConfigurationDatabase

  • Under External data, click Setup third-party integrations

  • If you can't see this option, contact your practice manager for access

2. Approve Heidi as a partner

  • In the Setup third-party integrations dialog, type heidi in the Search for box

  • In the Third-party providers list, tick the checkbox next to Heidi Scribe (your practice may see a (via Halo Connect) suffix).

💡 Ensure that you select Heidi Scribe, and not Heidi GP, when selecting form the Third-party providers list

3. Generate your pairing code

  • Click Generate pairing code

  • A Pairing Code dialog will open showing your Site ID, Pairing Code, and an Expiry time

  • Click Copy next to each value. Keep the dialog open until you've entered both into Heidi. They expire at the time shown.

💡 Note: If the pairing code expires before you finish, click Generate pairing code again for a fresh version.

You're now ready to connect Best Practice to Heidi. Pick the relevant section below — or set up both.


Connect Heidi Scribe to Best Practice

1. With your Site ID and Pairing Code copied, head to Heidi and navigate to Settings → EMR integrations → Best Practice.

💡 Heidi will prompt you to upgrade if you're not yet on the correct tier.

2. Click Set up integration. Heidi will prompt you to upgrade if you're not yet on the correct tier.

3. Paste your Site ID and Pairing Code into the relevant fields, then click Continue.

4. Heidi will ask Is "[Your Clinic]" your clinic? If the clinic name is correct, click Yes, continue. If it's not, click Back and check your Site ID was entered correctly.

5. Heidi will display your User ID, First name, Last name, and Phone from Best Practice. Click Connect Integration.

6. You'll see a success message: Your integration is connected. Click Done to close the dialog.

If you see an error, try the process again. If it persists, contact your clinic administrator or our support team.


Use Heidi Scribe with Best Practice

Selecting a patient

Schedule automatically imports all your sessions from your Best Practice calendar into Heidi in the order they're happening. If you think sessions are missing, click the refresh button in the top row of the Schedule section.

  1. Open the Sessions panel from the left-hand menu.

  2. In the Sessions panel, select the Schedule tab.

  3. Click the calendar icon to choose a day. Today's sessions are shown by default.

  4. View the appointments booked for the day, then select the correct patient.

💡 Important: Click on a patient from the schedule to begin their session and have it linked to Best Practice. Don't click "new session" — that won't link the session. The patient's name, age, and gender will be displayed in the patient details section in the top-left corner.

Getting notes into Best Practice

Heidi notes move into Best Practice via copy and paste. Once your note is generated, copy it from Heidi and paste it into the patient's record.

  1. Complete your session in Heidi as you normally would.

  2. To copy the note, click the Copy button on the note, or highlight the text and press Ctrl + C (Windows) or Cmd + C (Mac).

  3. In Best Practice, click into the field where the note belongs and paste with Ctrl + V (Windows) or Cmd + V (Mac).


Connect Heidi Comms to Best Practice

Heidi Comms uses the same Site ID and Pairing Code you generated above, plus one extra detail: the base URL for Halo Connect (the service Best Practice uses to talk to Heidi).

  1. With your Site ID and Pairing Code copied, open Heidi Comms and click the Integrations tab.

  2. Scroll down and find the Best Practice section, then paste your Pairing Code and Site ID into the relevant fields.

  3. Enter your base URL. Paste the address below into the Base URL field exactly as shown:

    <https://api.haloconnect.io>
  4. Click Connect to Best Practice. You're all set.

💡 If the connect step fails, double-check that your Pairing Code hasn't expired and that your base URL has no extra spaces.
