The letterhead editor lets you add a logo, header text, footer content and a signature, then export the finished letterhead as a Word or PDF document.
If you already have a letterhead from the previous layout, it won't carry over automatically: open the new editor and rebuild it there to get the updated layout and fixes.
Open the letterhead editor
Open Settings.
Go to Defaults.
Select Appearance.
Select Open letterhead editor.
The Appearance settings allows you to set the header and/or footer as a default on or off using the toggles next to Default export header and Default export footer.
ℹ️ The Open letterhead editor button only appears for accounts included in the rollout. If you don't see it, you don't have access yet.
Understand the editor layout
The editor has a header zone and a footer zone. Place your logo, text and images in these zones to build your letterhead.
The body text shown in the editor is sample preview text. You can't edit it directly or replace it with your own template.
Add a logo
Select Add logo.
Drag and drop an image into the upload window, or select the window to browse for a file.
Crop the image if needed.
Select Save to place the logo.
To change or remove the logo later, select the logo zone.
Add header content
Select the header content area.
Upload an image if you choose
Double-click an element to resize it, change the image, or adjust its alignment.
Enter or edit your text in the text dialog.
Select the zone, or the pencil icon, to edit or delete it.
Drag elements to reposition them, and resize them as needed, until the logo and header text are balanced.
Add footer content
You can add an image to the footer:
Select the footer area and upload an image.
Double-click the image and drag to resize it.
Move it toward the bottom of the footer if needed.
Note: Footer images can only be resized up to the editor's built-in margins.
Add a signature
Open the signature dialog.
Choose how to create your signature:
Use a sign-off based on your name and organization
Upload a signature image
Type your signature
Draw your signature using your trackpad
Save your letterhead
The editor shows a warning message at the bottom if your content won't fit the layout.
ℹ️ You can't save your letterhead while a warning is showing. Reduce or remove content until the warning clears, then select Save.
Export as a Word or PDF document
Once your letterhead is saved, select Export > Word or Export > PDF.
In the exported file, the letterhead appears at the top of the first page and the footer appears at the bottom of the last page.
Note: On the free plan, a branded banner appears at the bottom of the exported document. Banners only appear on PDF exports.
Team settings
If you are on a team managed account, administrators can set the default outputs at a team level in Settings > Team settings > Export defaults.
Go to Settings > Team settings, then set your Export defaults to control headers and footers across your team's documents.
